THE CHALLENGE
School districts were struggling with outdated, inefficient repair and inventory management processes. Technicians were overwhelmed, students faced delays, and administrators lacked real-time insights. Schools needed a seamless, intuitive, and scalable solution to manage devices, repairs, and procurement—all while keeping students engaged in hands-on learning.

THE APPROACH
We took a human-centered design approach, working closely with school administrators, technicians, and students to understand their pain points. The result? A streamlined, AI-powered platform that simplifies repairs, enhances inventory tracking, and seamlessly integrates with school district platforms like Aeries, Clever, and Google Workspace.
KEY PRODUCT DECISIONS
Seamless School District Integration Instead of forcing schools to adapt to a new workflow, we ensured the platform integrated smoothly with their existing Student Information Systems (SIS), IT asset management tools, and procurement systems. This reduced friction and encouraged higher adoption rates.
Adoption is about behavior, not just technology. We designed the platform to align with daily school operations—repair requests, inventory updates, and admin approvals—making it easy to integrate and reducing resistance to change.
DASHBOARDS BUILT FOR EVERY ROLE
Each user needed a tailored dashboard to simplify tasks and navigation:

Students: Repair guides, step-by-step tracking, progress updates.

IT Staff & School Administrators: Repair ticket management, device tracking, inventory optimization, and insights into repair trends and procurement.

Super Admins: District-wide oversight of contracts, inventory, performance, and compliance.
Adaptive Design Strategies for Each School Every school operates differently, so a one-size-fits-all approach wouldn’t work. We designed flexible implementation strategies, allowing schools to roll out the platform at their own pace—starting with small-scale pilot programs before full integration. This approach increased trust and confidence in the platform, leading to better long-term retention.

Moving forward, there’s an exciting opportunity to expand the platform’s role in sustainability. Imagine AI-powered insights helping schools extend device lifecycles, automated recycling workflows, and incentives for sustainable procurement. There’s also untapped potential in building stronger connections with users, ensuring the platform evolves with real needs.
This experience showed me firsthand how thoughtful UX can turn operational headaches into intuitive, empowering experiences—and I can’t wait to push those boundaries even further.
